Often over time there will be records in the system that were used, but are not needed any more. For data integrity reasons Standard ERP will not allow to remove these records as there are references to them in many records in the system such as invoices, activities etc. However there is a way how to get rid of these unnecessary codes called Conversion.

Step-by-step guide

  1. In System>>Setting>>Conversions Master you have to select which registers you want to include in the conversion procedure. You can convert one or more registers at the same time:

  2. You have to enter old and new values in the respective setting in the System module. For example we'll use Objects. You should open

  1. System >> Settings >> Conversions-Tags/Objects and fill in columns with the codes that you want to convert in the Old column and the codes that you want to convert these to in the New column

  2. If you want to get rid of unused Objects then you can list all of them and use the same Code in the New column. This will as a result of the Conversion process leave you with only one Object instead of multiple ones:

  2. However you can use Conversion to rename the Objects in case of a spelling mistake or changed needs. In that case use the wrong code in the Old column and the correct name in the New column

  3. Save the setting and then run Export/Import of the database. What will happen is that the system will go through every record in the system during import and replace any values in Old column with the respective value in the New column

Note

After export/import empty both settings: System >> Settings >>Conversions Master and System >> Settings >> Conversions - Tags/Objects (the conversion you were using)
