Set up your materials

Enter your materials in the created materials.xlsx spreadsheet:

  • Type: this column is optional so you can group the relevant materials together
  • Code: every material has a meaningful item code. You can come with the codes if you don't have any assigned at the moment. We recommend using a letter for the type of the material and a number with it. For example if you have 5 types of wood that you use you could create code W001, W002, W003 etc. You can also add more logic to the codes if you wish

Code should not contain spaces

  • Name: use the name of the item how it is easier for you to understand it
  • Minimal amount: if you wish to have any amount of this material in stock just in case, then fill in this reserve amount here so that spreadsheet can always calculate that you will want to purchase enough from your supplier to not only cover the production needs, but also this minimal amount
  • Stock: this is the current amount you have in stock. Update it doing stock count as often as you wish. The more precise it will be the better
  • Production: this is the amount spreadsheet will calculate based on your production plan

    Do not edit it manually

  • To purchase: this is the amount that you should purchase from supplier to meet your production plan taking in account your current stock and minimal stock amount

    Do not edit it manually

Set up your recipes

In the Recipes file you need to set up your finished products and define what materials are needed in what amount to produce one piece of the product

  • Product code: Come up with a code for the finished product. This is something you would use with your customers so come up with something that would help them to understand what product it is etc.
  • Product name: the name of your finished product as you wish
  • Parameters: Optional. Use if you want to write down any product parameters such as size
  • Materials:
    • Add a column for each material that you use for production with name in the first row and material code from previous step in the second row
    • Enter the needed quantity of a material per product unit

Enter your production plan

Enter your planned productions in the Plan file. The main fields to enter are:

  • Product code: must be the same as in Recipes file
  • Order qty: will be used to calculate needed material quantities
  • Calculate: only rows marked with Y will be taken into calculation. The idea here is that you can have old plan items that you still want to see as well as you can plan well ahead, but want to take only some of the rows into calculation of needed materials.

Calculate needed purchases

Go to Materials spreadsheet and press the Calculate button that will take:
