How to do Stocktaking in StandardERP

Description of solution / instructions

1. Create Stocktaking record per specified Location and Date. It can be done in two ways:

  • Manually - Stock >> Registers >> Stocktaking
    • Insert only counted Items and their quantities

  • Automatically - Stock >> Routines >> Maintenance >> Create Stocktaking records
    • Specify Location or Item Group, depending on how you're planning to do stocktaking
    • Insert Counted quantities for each Item in Stocktaking records

2. OK Stocktaking records


3. Run the report "Stocktaking Comparison" for the specific Location and/or Item Group and Stocktaking Date (Stock >> Reports >> Stocktaking Comparison) 

  • To see Item Sum, mark Function "Show Prices"
  • This report will show for which Items system will create Goods Receipts (positive amount in "Adjust" column) and for which system will create Stock Depreciations (negative amount in "Adjust" column)


4. Run the Maintenance "Stocktaking Comparison" for the specific Location and/or Item Group and Stocktaking Date (Stock >> Routines >> Maintenance >> Stocktaking Comparison"

  • The maintenance automates the last stage of the stocktaking process - it compares the counted quantities with the stock levels and creates either Goods Receipts or Stock Depreciations 
    • We recommend to generate unOKed records, that is, DO NOT MARK "OK Goods Receipts and Stock Depreciations" in maintenance specification window so you can check the records before you OK them (warning)
    • To recognise the records system has generated add a comment in the maintenance specification window field "Comment", for example, "Stocktaking 12.11.2021". You will see this comment in register browse window

5. Check the newly generated records and OK them if everything is correct

Stocktaking is finished.

(warning) Stocktaking has to be done on a current date; it cannot be done with a past date.
